How a property manager keeps every building's paperwork in its folder
Marcus manages 40 rental units across six buildings. Contractors send invoices, tenants send signed forms, and inspectors send reports, all by email, all to him.
His team keeps everything in SharePoint, one folder per building. The trouble was getting the attachments there: each email had to be opened, saved and uploaded by whoever had time, and the inbox kept the rest.
Marcus set up Email It In with his Microsoft 365 account and chose the Properties library in SharePoint. He made one tagged address per building: marcus12otter+oakst@emailitin.com, marcus12otter+elmcourt@emailitin.com, and so on, each with a routing rule to that building's folder.
Now he forwards an invoice to the building's address and it is in that building's folder before he has closed the email. Regular contractors send their invoices straight to the right address, so many never reach his inbox at all. Inspection photos from his phone go the same way.
When an owner asks for last year's repair invoices, they are all in one folder, in the order they arrived.
The people in this story are made up. Everything they do with Email It In works today.
Set it up the same way
- Sign in with your Microsoft 365 work account and choose the SharePoint library, or use OneDrive, Google Drive or Dropbox.
- Add a routing rule per property: a tag, like oakst, and the property's folder.
- Give contractors the right address for each property, and forward the rest yourself.
Routing rules come with every paid plan. Forty units and their contractors mean a few hundred files a month, so the Pro plan ($15 a month for up to 2,000 files) fits, with a folder per month inside each property if he wants one. See pricing.
Get your address: it takes about a minute.
