Email It In

Scan to Google Drive, OneDrive or SharePoint from any copier

Most office copiers can scan to email, but few can save straight into the cloud. Give your copier an Email It In address and every scan lands in the right folder in Google Drive, OneDrive, SharePoint, Dropbox, Box or Egnyte. There is no software to install and nothing to update on the copier.

How to set it up

  1. Sign in with the storage your scans should go to. Your address, like jane42otter@emailitin.com, is ready straight away.
  2. Add the address to the copier's address book, as a contact called something like "Scans to Drive".
  3. Scan, choose that contact, and press Start. The PDF is in your folder within seconds.

One button per folder

Add a tag to the address and give each version its own contact. A scan to jane42otter+invoices@emailitin.com goes to an invoices folder, jane42otter+contracts@emailitin.com to a contracts folder, and so on. On a paid plan, routing rules decide which folder each tag goes to, so people at the copier only have to pick the right contact.

Where to add the address

Copiers keep their address book in web settings that you open from a browser on the office network, using the copier's IP address. The name depends on the maker:

On most models you can also add the contact on the copier's own touch screen. If the address book is locked, your copier dealer or IT person can add it for you.

Questions about scanning

Do I need to install anything on the copier?

No. Any copier or scanner that can scan to email works. You only add your Email It In address to its address book, like any other contact.

My copier cannot send email yet. What does it need?

Scan to email needs an outgoing mail server set in the copier, usually your company's Microsoft 365 or Google Workspace account. Your copier dealer or IT person sets this up once. After that, scanning to Email It In works like scanning to any email address.

How big can a scan be?

On a paid plan there is no size limit, so long multi-page scans are fine. The free plan takes emails up to 5 MB, which is a few pages at normal quality.

My copier names files like doc04123.pdf. Can I change that?

Yes, on the Pro plan. Clean file names put the date first, like 2026-11-03 doc04123.pdf, and automatic folders can sort scans into a folder for each month.

Can scans go straight into SharePoint?

Yes. Sign in with your Microsoft 365 work account and choose a document library. Everyone on the team then finds the scans in SharePoint.
